The Challenge
A growing law firm in Malta with forty-five lawyers managed client matters across a legacy practice management tool, shared network drives, and individual email archives. Document retrieval for active matters consumed significant fee-earner time, version control was unreliable, and the firm could not enforce consistent document naming, retention, or access policies — a growing concern given GDPR and anti-money laundering compliance obligations.
Our Approach
redskios engaged partners, associates, and support staff through structured interviews to understand document lifecycle patterns across different practice areas. We designed a system that respected how lawyers actually work — integrating with Outlook and Microsoft Word rather than forcing a completely new workflow — while introducing the governance controls the firm needed.
The Solution
We delivered a Laravel-based document management system with matter-centric organisation, full-text search, version control, and access controls that respected legal professional privilege. The platform integrated with Microsoft 365 for email filing and document editing, included automated document generation from templates with merge fields, and provided client portal access for document sharing. AML client due diligence workflows were built into the matter opening process.
